You can keep the system you already use. These are the ones the companies here work in every day.

Moving from one system to another

A migration is mostly about the data you take with you, not the software you land in. Whichever system you move to, the companies here will ask the outgoing provider for the same things.

For payroll

  • Year-to-date gross pay, tax, National Insurance and student loan per employee.
  • Tax codes and NI categories, including week 1 / month 1 flags.
  • Pension scheme details and the auto-enrolment history.
  • The last FPS and EPS submissions.

For accounting

  • A trial balance at the migration date.
  • Open sales and purchase ledgers.
  • Bank feeds reconnected and reconciled to the same date.
  • VAT return history, so the next MTD submission lines up.

For HR

  • Employee records with start dates, job titles and pay.
  • Holiday entitlement and what has been taken so far this year.
  • Signed contracts and right to work evidence, attached to the right record.
  • Sponsored workers’ visa expiry dates, so follow-up checks carry across.

Run one period in parallel on both systems before you switch off the old one. A few pence of difference is rounding; a few pounds is a missing figure.
